Stewardly Connect — Privacy Policy

This Privacy Policy explains how Stewardly LLC ("Stewardly," "we," "us," or "our") collects, uses, and shares information in connection with Stewardly Connect (the "Community" or "Connect") at stewardlyconnect.com. It applies only to Connect. Your use of the Stewardly clinical platform is governed by a separate privacy policy and, where applicable, a Business Associate Agreement.

1. Connect Is Not a Repository for Client Records

Connect is a professional community and referral network. It is not a medical record system and is not designed to receive or store protected health information (PHI). The referral tools ask only for de-identified information, such as a brief description of what a client is seeking, and they instruct you not to enter client names, initials, or other identifying or protected information. Please follow those instructions and do not enter PHI anywhere in Connect. If you believe identifying information has been posted, contact us at customer-support@stewardlybh.com so we can address it.

2. Information We Collect

Information you provide. When you create an account and participate, we collect your name, email address, professional role and credential information, your license number and jurisdiction for verification purposes, and the profile details you choose to add, which may include your location, modality, session fees, and availability. We collect the content you post in community channels. We also collect the referral information you submit, including the de-identified description, urgency, modality, any private label you create for your own reference, and any private notes, along with your interactions in the Relationships area, such as messages and connections with other clinicians.

Information collected automatically. When you use Connect, we collect usage and device information such as log data, IP address, browser type, pages viewed, and interactions. We use cookies and similar technologies for authentication, preferences, and analytics.

Connect is currently free, and we do not collect payment or credit card information. If we introduce a paid feature in the future, we will update this Policy to describe the billing information we collect and how it is processed.

We do not intend for Connect to collect PHI, and we ask that you not provide it.

3. How We Use Information

We use the information we collect to operate and maintain Connect, to authenticate and support members, to verify licensure, to enable community discussion and the referral and matching network, including generating suggestions of potentially relevant clinicians for a referral based on self-reported profile information, to display member profiles and route referrals, to moderate content and enforce our Terms, to improve and develop features, to communicate with you about Connect, and to comply with legal obligations.

4. How Information Is Shared

Within the Community. Your profile information and the content you post in community channels are visible to other members. Please consider this before posting.

In the referral network. When you send a referral, the de-identified description and details you include are shared only with the limited number of clinicians you send it to or who are matched on a case, which will not exceed five. They are not posted to any feed and are not shared with the Community generally. Stewardly's matching tools may suggest clinicians for a referral based on self-reported profile information such as specialty, modality, location, and availability. These suggestions are generated automatically, and you decide whether and to whom to send a referral. Any private label you create is visible only to you and is not shared with the clinicians who receive the referral. Your profile information, including credential, location, modality, fees, response time, and licensure verification status, is visible to members who may refer to you or whom you may refer to.

Service providers. We share information with vendors who help us operate Connect, such as hosting, communications, and analytics providers. These providers may use the information only to provide services to us.

Legal and safety. We may disclose information when required by law, to respond to legal process, or to protect the rights, safety, and property of Stewardly, our members, or others.

Business transfers. If Stewardly is involved in a merger, acquisition, or sale of assets, member information may be transferred as part of that transaction, subject to this Policy.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

5. Cookies and Tracking

We use cookies and similar technologies to keep you logged in, remember preferences, and understand how Connect is used. You can control cookies through your browser settings, though some features may not work without them.

6. Data Retention

We retain your information for as long as your account is active and as needed to operate Connect. When you delete your account, we will delete or de-identify your personal information within a reasonable period, except where we are required to retain it to comply with law or resolve disputes. Referrals you have sent, and content you posted in shared discussions, may remain visible to the clinicians who received them or who quoted or saved them.

7. Security

We use administrative, technical, and physical safeguards designed to protect the information in Connect. No system is completely secure, and we cannot guarantee absolute security.

8. Your Privacy Rights

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to object to or restrict certain processing. Residents of states with comprehensive privacy laws, including Texas and California, may have additional rights, including the right not to be discriminated against for exercising them. To make a request, contact us at customer-support@stewardlybh.com. We will verify and respond as required by applicable law.

9. No Use by Minors

Connect is intended for behavioral health professionals who are at least 18 years old. We do not knowingly collect information from anyone under 18. If we learn that we have collected information from a minor, we will delete it.

10. Third-Party Links

Connect may contain links to third-party sites or resources. We are not responsible for the privacy practices of those third parties, and we encourage you to review their policies.

11. Changes to This Policy

We may update this Policy from time to time. If we make material changes, we will provide notice through Connect or by email and update the effective date above.
